Automate the work that shouldn’t need a person

Every business has tasks that are repeated, rule-based and quietly expensive — re-typing enquiries into a CRM, chasing follow-ups, assembling the same report every month. Those are the ones worth automating first.

The problem

What manual process actually costs you

  • Enquiries arrive at night and on Sundays, sit unanswered, and go cold before anyone opens the inbox.
  • The same data is typed into three systems, so at least one of them is always wrong.
  • Follow-ups depend on someone remembering, which means the slow weeks are the ones where they get forgotten.
  • Monthly reporting is assembled by hand from exports, taking a day and being out of date by the time it is read.
  • Your team's most experienced people spend hours on work that has no judgement in it.

Our approach

Map the process, automate the repeatable part, keep humans where judgement matters

We start by mapping what actually happens today, step by step, including the workarounds nobody documented. Then we identify which steps are genuinely rule-based, automate those, and leave clear handover points where a person should decide. Every automation ships with error handling, alerting and documentation — an automation that fails silently is worse than the manual process it replaced.

Talk it through

Capabilities

What we automate

Starting with whatever is costing you the most hours per week.

AI chatbots & assistants

Website and WhatsApp assistants that answer routine questions from your own content, capture lead details, and hand over to a human with full context when needed.

Workflow automation

Multi-step processes — enquiry to CRM to notification to follow-up — running end to end without anyone shepherding them.

System & API integrations

Website, CRM, spreadsheets, email, WhatsApp and ad platforms connected so data flows once instead of being re-entered.

Automated reporting

Dashboards and scheduled reports that assemble themselves from live data instead of monthly manual exports.

AI-assisted content operations

Drafting, summarising, classifying and tagging at volume, with human review built into the workflow rather than bolted on.

Monitoring & error handling

Retries, failure alerts and logging, so you find out when something breaks from us, not from a customer.

Process

How the engagement runs

We start narrow and prove value on one workflow before expanding — it is faster to justify and much easier to get a team to adopt.

01

Process mapping

We document the current process exactly as it runs, including the informal workarounds, and measure how much time each step actually costs.

02

Opportunity ranking

Each step is scored on frequency, time cost and how rule-based it is. You get a ranked shortlist with an honest note on which ones are not worth automating.

03

Build & integrate

The automation is built and connected to your existing tools, with error handling, retries and alerting designed in from the start.

04

Test & roll out

Run in parallel with the manual process until it is proven, then switch over. Your team gets training and written documentation.

05

Monitor & extend

Ongoing monitoring, then the next workflow on the shortlist once the first is delivering.

Technology & tools

How things get connected

We choose tools by what your stack already uses and who will maintain it, not by what is fashionable.

  • Large language modelsFor assistants, classification, summarising and drafting — with explicit rules on what data is sent where.
  • Automation platformsFor connecting SaaS tools quickly when a bespoke build would be overkill.
  • Custom scripts & APIsWhere a workflow needs logic, volume or reliability beyond what a no-code tool can hold.
  • CRM & spreadsheet integrationLeads, statuses and history synced to the system your team actually opens.
  • WhatsApp & email channelsAutomated responses, notifications and follow-ups through the channels your customers already use.
  • Webhooks & schedulingEvent-driven and time-based triggers, with logging so every run can be traced.

Expected outcomes

What you should see

  • Hours returned every week from work that no longer needs a person.
  • Enquiries answered instantly, including outside business hours.
  • One version of the truth across your website, CRM and spreadsheets.
  • Fewer errors, because data is entered once rather than re-typed.
  • Reporting that is ready when you are, not a day's work each month.
  • Documentation and training, so the automation is not dependent on us to keep running.

Automation is scoped by the number of workflows and systems involved, so it is quoted rather than packaged. We will also tell you when a process is too variable to automate reliably — a half-working automation costs more than the manual version.

AI & Automation FAQs

Questions we get asked

Anything repeated often, following consistent rules, and currently done by a person: routing enquiries into a CRM, sending follow-ups, answering routine questions, moving data between systems, and building recurring reports. If a task requires genuine judgement every time, it usually should not be automated.

No. Everything is handed over with documentation and a walkthrough, and is designed so a non-technical team member can monitor it. Where something needs changing regularly, we build a way for you to change it without calling us.

We scope data handling explicitly — what is stored, where, for how long, and which third-party services touch it. Where a workflow can be built without sending sensitive data to an external AI model, we build it that way and say so in the scope.

Only if it is built to hand over. Ours answer from your own content, admit when they do not know, and route to a human with the full conversation attached. A bot that loops a frustrated customer costs you more than having no bot.

It is quoted per engagement, based on how many workflows and systems are involved and how much integration work each needs. A single chatbot or one lead-routing workflow is a small project; connecting several systems across a business is larger.

Every build includes error handling, retries and failure alerting, so problems surface immediately rather than silently. Support terms are agreed in the scope.
